RMM and managed IT for SMEs: managing devices centrally

RMM sounds like enterprise IT, but it is exactly what saves small businesses the most trouble: devices are monitored centrally, patched automatically and maintained remotely before anything fails. Here is how it works and how I use it in practice.

What is RMM?

RMM stands for Remote Monitoring and Management. It is software that lets an IT provider discover, monitor, update and maintain a client's devices remotely. Technically it is agent-based: a small agent is installed on each managed device, which after setup starts an inventory and collects data such as operating system version, installed programs and hardware details.

The agent continuously monitors the device's health and performance and reports anomalies in real time to a central console. That means I often see problems before anyone on your side notices.

What RMM can actually do

  • Monitoring and alerting: devices are monitored in real time, with automatic notifications when something goes wrong.
  • Automated patch management: updates for Windows, macOS and Linux as well as third-party applications are distributed automatically.
  • Remote access and support: direct, secure access to a device for fast hands-on support, without a trip.
  • Automation and software deployment: recurring tasks like installations, device setup and maintenance run in a standardised way in the background.
  • Asset inventory and reporting: a central overview of all devices plus clear reports.

RMM, MDM, endpoint management: what's the difference?

RMM has a broad focus on classic devices like laptops and desktops. MDM (Mobile Device Management) specialises in smartphones and tablets, whether company-owned or bring-your-own-device. The two complement each other: RMM for the IT infrastructure, MDM for the mobile fleet, together they make up complete endpoint management.

In Microsoft 365 environments I use Microsoft Intune for this, a cloud-based endpoint management service. Intune manages devices and apps, enforces compliance policies (such as a minimum operating system version) and works together with Entra ID and Conditional Access, so only compliant devices reach company resources. Lost devices can be reset remotely.

The real benefit: proactive instead of reactive

The classic approach is break-fix: things get repaired and billed once they break. The managed service model flips that around. A provider looks after the IT continuously and remotely, usually for a fixed monthly fee. That gives you predictable costs and gives me the chance to fix problems before they turn into an outage.

From practice: proactive instead of reactive

With managed IT I run complete device fleets remotely. Proactive monitoring, automatic updates and UPS protection keep the technology running largely on its own. On-site visits just to restart a PC used to be routine, today they are the exception.

Is it worth it for small businesses?

Yes, especially then. You do not need your own IT team to benefit from central management. Outdated software and missing patches are the most common entry point for attacks, and manual updates are error-prone. With RMM your device fleet stays current and monitored without anyone on your side having to think about it.
